Responsibilities of Directors
President:
(i) Represent the Association in the Community.
(ii) Act as Chair of the Executive, the Executive Committee, and at all Meetings of the Membership.
(iii) Exercise general supervision of the Association in accordance with Policies determined by the Executive.
(iii) Be a voting Member of all committees and sub-committees of the Association.
(iv) Report regularly to the Executive on matters of interest.
(v) Delegate tasks as necessary; (vi) Choose Coaching Committee.
1st Vice President:
(i) Assume the duties of the President in the absence for any reason of the President.
(ii) Monitor adherence by the Executive to all existing Policies and inform the Executive with respect to any inconsistencies between existing Policies and a proposed policy.
(iii) Be available to assist any Director requiring assistance in the completion of his or her functions;(iv) Ensure that each convenor receives a copy of the Referees rulebook and OMHA Manual of Operations.
(v) Carry out duties as assigned by the Executive, the Executive Committee or the President.
(vi) Be responsible for all trophies/awards for the Year End Banquet.
Coach Convenor:
(i) Share all other responsibilities with 1st Vice President(ii) For purposes of establishing, implementing and evaluating on ice and office technical development programs.
(iii) Recruit and train volunteers to perform the functions required for technical development.
(iv) Liaise with the Referee-In-Chief.
(v) Liaise with the OMHA concerning the coach mentor program.
(vi) Carry out other duties as assigned by the Executive or the President.
(vii) Mail in all game sheets to WOAA from SLMHA.
(viii) Chair Coach Selection committee.
Secretary/Webmaster:
(i) Record or delegate the recording of the minutes of General Meetings of the Membership, Executive Meetings and Executive Committee Meetings and ensure that Association records are regularly and properly kept and all business is conducted in accordance with any applicable statute or law, the Letters Patent and By-Laws and the Policies and procedures established by the Executive or by the Membership.
(ii) Ensure the proper custody of the Association's corporate seal, corporate minutes and resolutions and other corporate records and documents.
(iii) Be responsible for receiving and distributing all correspondence received or sent by the Association and all communications within the Association.
(iv) Recommend policy to the Executive regarding internal and external communications of the Association.
(v) Chair the Registration Committee.
(vi) Maintain the membership list referred to in Section 6.2.
(vii) Carry out duties as assigned by the Executive, the Executive Committee or the President.
(vx) Executive Minutes are to be posted on the Associations Web site.
Centre Contact:
(i) Act as the Association’s primary point of communication with the offices of the WOAA and OMHA and represent the Association at regional meetings with other associations.
(ii) Shall follow up and confirm with team managers any suspensions received by players within the Association.
(iii) In collaboration with the Secretary/Webmaster, be responsible for maintaining communication on the Association’s social media pages.
(iv) Ensure that all necessary and appropriate insurance has been purchased.
(v) Carry out other duties as assigned by the board, executive committee or the president.
Tournament Convenor:
(i) Be responsible for the organization of all aspects of any tournaments which SLMHA decide to operate as fundraising events.
(ii) Shall attend to all the necessary OMHA/WOAA sanctions.
(iii) Shall collect and receive all money due for all SLMHA tournaments, as well as make payments of all expenditures incurred during such tournaments, presenting a Financial Report of his/her receipts and expenditures to the Executive and presenting all profits to the Treasurer.
(iv) Shall keep tournament records (i.e. programs, schedules, applications, sanction forms, trophies and award) for future reference.
(v) With the help of the Tyke Convenor, organize the annual Tyke Fun Day which is scheduled the Friday of March Break.
Equipment Manager:
(i) Be responsible for the purchase, and the yearly disposal and return of all equipment owned by SLMHA. Such equipment includes pucks, team sweaters, goalies equipment, and all other equipment as deemed necessary by the Executive.
U7/U8 Convenor:
(i) Be responsible for preparing and executing a quality educational hockey program and schedule for all Tyke players.
(ii) Report to the Executive throughout the season as to the progress of the Tyke program so that any changes or improvements can be investigated and initiated at the Executive level.
(iii) Be responsible for organizing the U7/U8 jamboree.
Fundraising Committee:
(i) Consist of Chair and up to six (6) members.
(ii) Act as a communicant between SLMHA Executive and Members to educate all members about SLMHA fundraising events and the need for their help.
(iii) Responsible for organizing schedules for volunteers at required events.
(iv) Responsible for organizing sponsorship for SLMH.
Manager Convenor:
(ii) Act as liaison between team managers and executive.
(ii) Shall work with Registrar to ensure all completion of all team staff course requirements
(iii) Shall work with Centre Contact to keep managers aware of suspensions and OMHA updates
(iv) Shall meet with all managers to assist with scheduling of games and provide information for the season.
(v)Shall provide training on iPad and other game responsibilities.
Trainer Convenor:
(i) Shall be responsible for the confirmation of trainers’ qualifications and training and trainer’s contact information.
(ii) Carry out trainer screening as per policy and guidelines.
(iii) Ensure each trainer/team is in possession of stocked trainers’ kit
(iv) Refill kits as needed
(v) Carry out other duties as assigned by the board, executive committee or the President.
Registrar:
(i) Shall be in charge of registering all players with Hockey Canada
(ii) Shall report to the executive
Treasurer:
(i) Ensure adherence to and implementation of financial Policies in the financial administration of the Association.
(ii) Ensure the submission of the books of account to the Association at the end of the financial year.
(iii) Present a Report from the previous year and a projected financial position for the current year to the Membership at the Annual General Meeting.
(iv) Evaluate, review and recommend financial policy to the Executive Committee and to the Executive.
(v) Chair the Budget Committee.
(vi) Chair the Sponsorship Committee.
(vii) Carry out duties assigned by the Executive, the Executive Committee or the President.
Referee-In-Chief:
(i) Ensure there are enough referees in place to officiate all games.
(ii) Liaison with the Technical Director and Budget Committee to estimate fees for the upcoming year.
(iii) Ensure refereeing complaints are addressed and solved in a timely fashion.
(iv) Recruit, train, monitor and evaluate performance of referees.
(v) Schedule referees maintaining accurate records for payment.
(vi) Carry out other duties as assigned by the Executive, Executive Committee, or the President.
Ice Convenor:
(i) Provide efficient, equitable scheduling and ensure use of all ice time purchased by SLMHA through the hockey season.
(ii) Not be responsible for any Referee scheduling. The Ice Time Convenor and the Referee-In-Chief are two (2) separate duties, and their job responsibilities shall not be confused.
(iii) Be responsible for updating the weekly Association’s ice time schedule bulletin board in the foyer of the Shallow Lake Arena.
